Empower Your Business Team: Add Authorized Signers to Your LoadPay Account

LoadPay

March 13, 2025

As trucking businesses evolve, the ability to share financial responsibilities while maintaining appropriate controls becomes an essential component of sustainable growth. Finding this balance—between delegation and oversight, between accessibility and security—represents one of the most significant operational challenges facing expanding trucking companies in today’s complex business environment.

, the commercial bank account built specifically for truckers, understands these challenges. The Triumph Financial enterprise already delivers improved cash flow by allowing carriers to receive payments through the TriumphPay Payments Network in seconds, whether through QuickPay, Standard Pay transactions, or factored receivables through Triumph Factoring. Together with LoadPay, truck drivers can get paid faster, providing financial flexibility and freedom on the road.

Now, we’re excited to introduce a transformative feature designed to help growing trucking companies: Authorized Signers. This powerful addition allows business owners to delegate financial tasks without sacrificing security or control, creating a more efficient and scalable financial operation for their trucking business.

The Challenge of Financial Management in Trucking

The transportation industry presents unique financial management challenges that differ significantly from other business sectors. Trucking company owners navigate a complex financial landscape characterized by:

  • Time constraints: When trucking business owners are focused on keeping trucks on the road and maintaining customer relationships, financial administration often gets pushed to nights and weekends. The 24/7 nature of trucking operations means financial needs don’t conform to banking hours, resulting in timing challenges.
  • Cash flow complexity: The trucking industry operates on exceptionally tight margins (typically 3-7%), with significant cash flow gaps between service delivery and payment receipt.
  • Administrative burden: ATRI (American Transportation Research Institute) research indicates that small fleet owners spend an average of 20+ hours weekly on administrative tasks, with financial management representing the largest portion. This administrative workload falls disproportionately on owners of smaller operations.
  • Security concerns: When owners begin looking to delegate tasks, they often face a conflict between allowing members of their teams to have adequate access to information while still maintaining account security.
  • Growth limitations: As fleets expand beyond 3-5 trucks, centralized financial management becomes unsustainable.

In short, many trucking business owners find themselves in a difficult position: they need help managing finances, but traditional banking solutions aren’t designed with the flexibility trucking companies need. Most conventional business accounts offer rigid access structures that don’t accommodate the unique operational structure of trucking companies. This often forces owners to choose between maintaining total control (and the associated administrative burden) or delegating with insufficient oversight mechanisms.

Introducing Authorized Signers in LoadPay

LoadPay’s Authorized Signers feature solves these problems by giving trucking company owners the ability to provide tailored account access to trusted team members. Once the owner has added a user as an Authorized Signer, that user is able to log into the account anytime with their own unique credentials.

Our solution offers two distinct access levels:

  1. Card Spend with View-Only Access: Allows team members to view account information and use their assigned debit card for purchases, without the ability to initiate transfers
  2. Transact with Full Access: Provides comprehensive account capabilities, including using their assigned debit card for purchases, and initiating instant transfers or ACH transactions.

Both levels include:

  • A personalized debit card in the authorized signer’s name (which includes the business name)
  • Ability to check account balances via phone IVR or ATM
  • Access to transaction history for the account
  • ATM withdrawal capabilities
  • Ability to make purchases both in-person and online

Meanwhile, the primary account holder maintains complete oversight, with the ability to:

  • View all transactions across all cards on the account
  • Filter transactions by user
  • Manage team access through an intuitive interface
  • Remove authorized signers or deactivate cards when needed

Benefits for Business Owners

Adding Authorized Signers to a LoadPay account transforms how trucking business owners manage their operations:

  • Maintain oversight while delegating tasks: Owners no longer need to be the bottleneck for every fuel purchase or vendor payment
  • Reduce administrative burden: Owners can redirect their time to focus on growth and strategy rather than day-to-day financial tasks
  • Improve work-life balance: When trusted team members can handle routine financial matters, owners can take time off without operations grinding to a halt
  • Enhance financial controls: With user-specific cards and transaction tracking, owners gain better visibility into spending patterns
  • Scale more efficiently: Owners can remove themselves as the sole manager of their financial operations

Most importantly, owners maintain complete control. As the primary account holder, they decide who gets access, what level of access Authorized Signers receive, and can monitor all account activity in real-time.

Benefits for Financial Teams and Staff

Having Authorized Signer access benefits various team members within a trucking operation:

  • Office managers can handle vendor payments and operational bill pay without constant owner approval
  • Bookkeepers or accountants can reconcile transactions and prepare financial reports with direct access
  • Business partners or family members that help run the business can share financial responsibilities

Implementation and Setup

Adding Authorized Signers in LoadPay as the primary account holder is straightforward:

  1. Log in to the LoadPay account as the primary account holder
  2. Click on the profile avatar in the navigation bar
  3. Select “Add Team Member” to begin the process
  4. Enter the required information for the authorized signer, including:
    • First and last name
    • Date of birth
    • Social Security Number
    • Address and contact information
    • Driver license details
    • Job title
  5. Select the appropriate access level for the team member:
    • Card spend with View-Only Access
    • Transact with Full Access
  6. Submit the information for review
  7. Once approved, an email will automatically be sent out to the team member for them to create their login credentials
  8. The Authorized Signer’s debit card will be sent to the primary account holder’s business address

For security and efficiency, consider these best practices:

  • Regularly review transaction history filtered by user
  • Periodically assess whether each team member still requires their current access level
  • Promptly deactivate cards for employees who leave the company
  • Maintain clear documentation of who has access and their responibilities

Conclusion

LoadPay’s Authorized Signers feature represents a significant advancement for trucking company financial management. By providing flexible, secure access options for team members, trucking companies can:

  • Delegate financial tasks without sacrificing control
  • Scale business operations more efficiently
  • Improve financial oversight and accountability
  • Create operational redundancy for emergencies
  • Reallocate time to business growth

For growing trucking companies, this functionality removes a critical bottleneck in business operations. No longer does the owner need to personally handle every financial transaction or be available 24/7 for finance management.
